A documented vessel is one that is registered by the Federal Government through the U. S. Coast Guard, rather than titled and numbered by a state. Pleasure vessels of 5 net tons and over (26 feet in length and up) may be documented, and commercial vessels 5 net tons and over must be documented.

Exchange - is the term used when changes are made to the Certificate of Documentation (COD) for a vessel which is currently documented with the U.S. Coast Guard. The changes may include ownership, vessel name, hailing port, and/or endorsement(s).

Once your vessel is USCG documented, all you need to transfer the ownership is to submit a copy of the Certification of Documentation which includes the owners' signature. Also, the copy of the certificate of documentation must be notarized. A bill of sale will be needed (see below).

There is no fee for renewal of a vessel's documentation. A title search on a documented vessel may be initiated by requesting an Abstract of Title from the National Coast Guard Documentation Center. The bill of sale must be notarized for transactions involving a documented vessel transfer of ownership.

EXPIRED CERTIFICATES OF DOCUMENTATION: Complete Form CG-1258 Application for Initial, Exchange or Replacement of Certificate of Documentation, Redocumentation, and submit the form with the fee of $84.00, PLUS additional applicable fees for any trade endorsement(s) other than Recreation or Registry.

Commercial vessel owners are not eligible for multi-year documents and must continue to follow the current process for requesting/renewing one-year CODs at a cost of $26.00.

The name and/or hailing port of a vessel may be changed by filing this application with the appropriate fees. If your vessel is subject to a mortgage of record, you must obtain permission from the mortgagee.

Official Number – the Official Number (O/N) is the 6 or 7 digit number awarded to the vessel at the time it is first documented with the US Coast Guard. This number remains with the vessel indefinitely and should be marked in ance with 46 CFR 67.121.
