Get Equipment Return Form

Have employees sign an acknowledgment when they are issued any new company property. The acknowledgment should explain that the employee is responsible for returning the items when employment ends. This document can support an employer's position if it becomes necessary to file a legal claim to recover the equipment.

Return Request Form is a document that is used by sellers or stores for product returns either for replacement or refund.

You can start this off by saying: “Per company policy, employees must return all property back to the organization in [insert number] of days after a [termination/layoff/etc].” This gets right to the point. Like all communication like this, you need to jump right in.

Send the individual a letter or e-mail showing the list of items that need to be returned. Include a copy of the acknowledgment form that was signed when the employee received the equipment, if such a form exists.

As you are no longer employed with our company, we need to retrieve the company property issued to you during your time here. If the property is not returned by the specified deadline, we may take legal action or withhold your final pay.

Under the FLSA, employers can deduct the cost of unreturned company property from the wages of nonexempt employees, as long as this deduction does not cause the employee's pay to fall below the minimum wage or reduce any owed overtime wages.
