Add up the total expenditure listed on each petty cash voucher in the petty cash fund (the information can also come from the petty cash book). Subtract this amount from the calculated amount of cash withdrawn. The result should be zero. If there is a residual balance, then there is a cash overage in the fund.

Establishment of Petty Cash Funds – A request for such funds must be made to the Financial Reporting & Accounting Office, or in the case of a Grant or Contract to their accounting office. To create or make changes in amount, custodian, ChartField or closing use the Petty Cash Request/Change Form.

It will confirm the balance of the fund, whether the fund is still necessary and being used for the same purpose it was initially opened for, the name of the custodian responsible for the fund, and the location of the fund.
