The format for a meeting depends on the meeting type and style. While there is no set format for meeting minutes, templates provide guidelines for essential information that should be included in your documentation.

Minutes of meetings should include: the corporation's name and ICN. the type of meeting – directors', general or AGM. a copy of the notice for the meeting. the agenda that was issued before the meeting. the date, time and place of the meeting. the name of the chairperson. the names of all people at the meeting.

Minutes (each item on the agenda should be sequentially numbered for ease of reference). principle that the directors are collectively delegated the authority of running the company, and also that the members have the opportunity to hold the directors to account.

Robert's Rules (Section -16) state that “the minutes should contain mainly a record of what was done at the meeting, not what was said by the members.” Minutes are not transcripts of meetings; rather, the document contains a record of actions taken by the body, organized by the meeting's order of business (agenda).

Meeting minutes are notes that are recorded during a meeting. They highlight the key issues that are discussed, motions proposed or voted on, and activities to be undertaken.
