Robert's Rules (Section -16) state that “the minutes should contain mainly a record of what was done at the meeting, not what was said by the members.” Minutes are not transcripts of meetings; rather, the document contains a record of actions taken by the body, organized by the meeting's order of business (agenda).

What to include Meeting date, time and location. Names of the committee or other group holding the meeting, the Chair and Secretary. List of those present, including guests in attendance, and any recorded regrets/absences. A record of formal motions and outcomes.

Minutes should start with the attendance and continue through the motion to close the meeting (opening and closing of the meeting should have times attached.) Each topic that is discussed should have a brief paragraph summarizing what was discussed.

Minutes of meetings should include: the corporation's name and ICN. the type of meeting – directors', general or AGM. a copy of the notice for the meeting. the agenda that was issued before the meeting. the date, time and place of the meeting. the name of the chairperson. the names of all people at the meeting.
