A final sales invoice (also called a commercial invoice, final invoice, or official invoice) is a business instrument that states the total amount due and requests payment. A proforma invoice is a declaration by the seller to provide products or services in the future and isn't a legally binding agreement.

Although it is not final, a pro forma invoice should give the buyer a clear understanding of the terms of sale, including the price, date of delivery, and any additional fees. It is less official than a formal/final invoice, which is typically issued at the time of delivery.

A proforma invoice is a pre-sales contract that is sent to the customer before the work is completed. It is a promise of goods and services that have not yet been offered but lists the work to be performed, the quantity, and the price to charge for the product or service.

Can a proforma invoice be cancelled? As a proforma invoice is not a legally binding document, or the official invoice used for accounting, they do not need to be cancelled. Similarly to a quotation document, if the sale does not go ahead, no action is required to edit or cancel the proforma invoice.

You cannot cancel the proforma but you can change the status of the same. Go to VF02, give the proforma reference and select "Billing document -- Complete". By doing so, the status would change to "Cancelled".

We must follow the steps below to cancel a pro forma invoice: Transaction: VF02 (Change Billing Document) (Do not hit the Enter key) Enter the pro forma invoice number. Go to menu option -> Billing Document / Complete.

MR08 is a transaction code used for Cancel Invoice Document in SAP.

Select the invoice and the item you want to cancel. Choose the Cancel symbol. You return to the invoice overview. The system creates the corresponding cancellation documents for the canceled items.
