Before proofreading, set your work aside for a while so that you can look at it with fresh eyes. Ideally you should wait at least a day or two before final proofreading, but if you're on a tight deadline, even a half hour break can help.

Proofreading is the final stage of the writing process when the paper is evaluated for mechanical correctness, such as grammar, punctuation, spelling, omitted words, repeated words, spacing and format, and typographical errors.

Proofreading is the correcting of surface errors such as grammar, spelling and punctuation. While it still requires a nuanced understanding of the English language, it differs from editing, which seeks to improve the overall quality of writing by enhancing flow, readability and structure.

The up arrow is used for inserting marks at the bottom of the word, such as a semicolon or comma. The down arrow is used for an apostrophe or single quotation mark. The main exception to this is the symbol for inserting a period, which is a dot in a circle, as you'll see on the image below.

It is not easy to give an average number of words per hour that can be used to estimate how long proofreading will take. However, a basic rule of thumb for a straightforward, mostly text, publication is to allow for a proofreading rate of about 10 pages per hour with about 300 words per page.

In hard copy proofreading, corrections typically appear in the left or right margins beside the line containing the error. A mark is also placed in the text to indicate where the correction needs to be made. A caret (^) indicates an addition, and a line through the text indicates a deletion or a replacement.

For example, to insert a period, most guides will say the proofreader should draw a period with a circle around it, but to insert a letter or word, a carat (^ or ?) is used, and further, to insert a parenthesis, the proofreader will write a parenthesis with two horizontal lines through it.
